Terms & Conditions

Last updated: 27 October 2026

1. Welcome

These Terms & Conditions ("Terms") govern your use of Chai Yako, a digital farm record-keeping service for tea farmers in Kenya ("the Service", "we", "us"). By creating an account, you agree to these Terms. If you do not agree, please do not register or use the Service.

2. Who can use Chai Yako

Chai Yako is intended for tea farmers, farm owners, and authorised farm staff aged 18 or older. By registering, you confirm that the details you provide (name, email, phone number, farm information) are accurate and belong to you or a farm you are authorised to manage.

3. Your account

4. What the Service is for

Chai Yako lets you record and review farm data you choose to enter, including plucking and pruning logs, tools and equipment, farm notes, and general tea industry news. Figures you enter (such as kilos plucked) are self-reported by you and are not independently verified by us.

5. Acceptable use

You agree not to:

6. Data we collect and how we use it

To provide the Service we store the information you give us at registration (name, email, phone number, farm scale, farm numbers) and the farm records you create while using the Service (plucking and pruning logs, tools, notes). We also keep a basic login activity log (date, time, and IP address) to help keep accounts secure.

We use this information only to operate and improve Chai Yako — for example, to show you your own records, calculate your farm totals, and let our support and admin team assist you if you have an issue with your account. We do not sell your personal data to third parties.

Administrators of Chai Yako can view farmer account details and farm activity in order to provide support and keep the platform running correctly; they do not have access to your account password.

7. Data retention and deletion

We keep your account and farm records for as long as your account is active. If you ask us to delete your account, we will remove or anonymise your personal details within a reasonable time, except where we are required to keep certain records for legal or accounting reasons.

8. Weather and third-party information

Weather forecasts and tea news shown in the Service are provided by third-party sources for general guidance only. We do not guarantee their accuracy and are not liable for decisions made based on this information.

9. No warranty

Chai Yako is provided "as is". While we work to keep the Service available and accurate, we do not guarantee that it will be uninterrupted, error-free, or free of data loss. You are encouraged to keep your own backup of any figures that are critical to you (for example, by exporting your plucking records).

10. Limitation of liability

To the fullest extent permitted by law, Chai Yako and its operators are not liable for indirect, incidental, or consequential losses arising from your use of the Service, including losses relating to farm income, buyer disputes, or data entered incorrectly by a user.

11. Changes to these Terms

We may update these Terms from time to time as the Service grows. If we make significant changes, we will let registered users know, for example via a notice on the dashboard. Continuing to use Chai Yako after an update means you accept the revised Terms.

12. Contact

Questions about these Terms or your data can be sent to our support team through the contact details listed on the Chai Yako website.

This page is a general-purpose terms document for the Chai Yako platform and is provided as a starting point. It is not a substitute for advice from a qualified lawyer — we recommend having it reviewed by legal counsel familiar with Kenyan data protection law (the Data Protection Act, 2019) before relying on it in production.
